Terms of Service

These terms of service ("Terms") govern your use of the services provided by Edinburgh Psych Limited, a company registered in Scotland trading as Caledonian Psychiatry ("we", "us", "our"). By booking or attending an appointment with Caledonian Psychiatry, you agree to be bound by these Terms. Please read them carefully before engaging our services.
1. About us
Caledonian Psychiatry is the trading name of Edinburgh Psych Limited, a company registered in Scotland (company number SC761568). Registered office: Edenbank House, 22 Crossgate, Cupar, Fife, KY15 5HW. Our clinical services are delivered by psychiatrists registered with the General Medical Council, and the practice is led by Dr David Crocker (GMC registration number 7411382), a Member of the Royal College of Psychiatrists.

2. Scope of services
We provide private psychiatric services for adults, including:
- Psychiatric assessment and diagnostic evaluation
- ADHD assessment and medication management
- Autism spectrum disorder (ASD) assessment
- Ongoing psychiatric management and medication review
- Prescribing, including controlled drugs where clinically appropriate
- Clinical reports, letters and summaries
All consultations are delivered via secure video conferencing. We do not provide face-to-face consultations. You are responsible for ensuring you have a suitable private environment, a reliable internet connection and appropriate technology to participate in a video consultation.
3. Eligibility
Our services are available to adults aged 18 and over who are ordinarily resident in the United Kingdom.
By booking an appointment, you confirm that:
- You are aged 18 or over
- The information you provide to us is accurate and complete
- You will inform us promptly of any changes to your personal details, medical history or medication
- At the outset of your care, we will seek your consent to contact your GP and other relevant healthcare professionals. For controlled medications, prescribing will not proceed without access to your GP medical history. You may withdraw your consent at any time, but this may affect the treatments available to you
4. Not an emergency service
Important
Caledonian Psychiatry is not an emergency or crisis service. We do not provide 24-hour cover. If you or someone else is at immediate risk of harm, please call 999, attend your nearest Accident & Emergency department, or contact NHS 24 on 111.
We are unable to provide urgent same-day assessments or crisis intervention. Between appointments, your GP remains responsible for your general medical care. If your mental health deteriorates urgently, you should contact your GP, NHS 24, or emergency services. A full list of support services is available on our crisis and emergency contacts page.
5. Fees and payment
All fees will be communicated to you clearly before any appointment is booked. A full schedule of current fees is published on our Fees page. By proceeding with a booking, you agree to the applicable fee.
Key terms regarding payment:
- Full payment is required at the time of booking to secure your appointment slot. If you cancel or reschedule, refunds are issued in line with our cancellation policy below
- We accept payment by bank transfer and other methods as notified to you at the time of booking
- Fees for clinical reports, letters, prescription charges and extended consultations will be discussed and agreed in advance
- We reserve the right to amend our fees at any time, but any fee changes will not affect appointments already booked and confirmed
- In the event of non-payment, we reserve the right to suspend services until the outstanding balance is settled
6. Cancellations and missed appointments
We understand that circumstances change. However, appointment slots are limited and a missed appointment prevents another patient from receiving care. Our cancellation policy is as follows:
- 48 hours or more notice: You may cancel or reschedule your appointment at no charge
- Less than 48 hours notice: A late cancellation fee may be charged, up to the full cost of the appointment
- Non-attendance (no notice): The full appointment fee may be charged

7. Clinical care and its limitations
All clinical care is delivered personally by the named psychiatrist you book with. We are committed to providing safe, effective and evidence-based psychiatric care. However, you should be aware of the following limitations:
- Psychiatric assessment and treatment via video consultation has inherent limitations compared with in-person care, including the inability to perform a physical examination
- A diagnosis cannot always be confirmed at the first appointment; further assessment or information may be required
- Treatment outcomes cannot be guaranteed. Psychiatric treatment, including medication, may not be effective for every patient and may carry side effects
- We may, at our clinical discretion, determine that your needs would be better met by another service (for example, NHS specialist services, psychotherapy, or inpatient care) and will advise you accordingly
- We reserve the right to decline to accept or to discharge a patient where, in our reasonable clinical judgement, the service is not appropriate for their needs or where the therapeutic relationship has broken down
8. Discharge and ending care
Your care with Caledonian Psychiatry may end in any of the following circumstances:
- Completion of care: Your agreed episode of care has been completed, for example following a diagnostic assessment, or once you are stable on medication and no longer require ongoing specialist review (whether or not your GP is prescribing under a shared care arrangement).
- At your request: You may ask to end your care at any time. We will discuss any implications for your safety, including medication, and offer to facilitate a safe transition.
- Non-attendance: If you do not attend two consecutive appointments without adequate notice, or three appointments within a 12-month period, we may discharge you from the service. Before doing so, we will write to you offering a further opportunity to engage and will allow 14 days for you to respond. We recognise that non-attendance may sometimes be related to the condition being treated (for example, ADHD-related difficulties with organisation or time management) and will take this into account.
- Disengagement: If there has been no meaningful contact between you and the service for three months or more, despite our attempts to reach you, we may discharge you from the service. You will be given written notice and at least 14 days to respond before any discharge takes effect.
- Clinical decision: In rare cases, we may end the clinical relationship where the level of trust required for safe and effective care can no longer be maintained (for example, where there has been abusive, threatening, or dishonest behaviour). This will be handled in accordance with GMC guidance on ending professional relationships, including written notice and arrangements for continuing care.
- Service limitations: If your needs fall outside the scope of our service, or if the service is unable to continue operating, we will take reasonable steps to help you find an appropriate alternative provider.
On discharge
- Your GP will be informed in writing, with a summary of your care, current medication, and any ongoing monitoring needs.
- If you are receiving prescribed medication (including controlled drugs), prescribing by Caledonian Psychiatry will cease from a specified date. Where clinically appropriate, a final bridging prescription of up to 28 days may be issued to allow time for your GP or another service to take over.
- You will receive written confirmation of your discharge, including advice on ongoing medication, how to access help in a crisis, and how to re-refer to the service in the future.
Re-referral: If you have been discharged and wish to return to the service, you may do so by contacting us directly. Acceptance is not guaranteed and will depend on your current clinical needs and the circumstances of the original discharge.

9. Prescribing
Where medication is clinically indicated, prescribing will be carried out in accordance with:
- National Institute for Health and Care Excellence (NICE) guidelines
- British Association for Psychopharmacology (BAP) guidance
- General Medical Council (GMC) guidance on prescribing, including remote prescribing
- Relevant Scottish clinical standards and formularies
Controlled drugs (such as stimulant medications for ADHD) will be prescribed where clinically appropriate and in line with national guidelines and legal requirements. All prescriptions are private prescriptions.
We will normally write to your GP following each consultation, sharing diagnosis, medication changes and management plans, with your consent. Ongoing prescribing may be facilitated through your GP under a shared care arrangement where this is agreed.
10. Confidentiality and data protection
We take your privacy seriously. All personal and clinical information is handled in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and GMC guidance on confidentiality.

In certain limited circumstances, we may be required to disclose information without your consent, for example where there is a serious risk to you or others, or where disclosure is required by law or by a court order.
Parts of this website (including the patient area, contact form and prescription request form) are protected against spam and automated abuse by Cloudflare Turnstile. On some pages this check runs invisibly, without displaying a challenge, and Cloudflare may process limited technical information about your device and browser to confirm that you are a genuine visitor. Your use of this verification is subject to the Cloudflare Turnstile Privacy Policy and Terms of Use.
11. Complaints
We are committed to providing a high standard of care. If you are unhappy with any aspect of our service, we encourage you to raise your concerns with us directly in the first instance.
Please email complaints@caledonianpsychiatry.co.uk or write to us at the address above. We will acknowledge your complaint within three working days and aim to provide a full response within 14 working days.

You also have the right to contact Healthcare Improvement Scotland (HIS) at any time if you have concerns about any aspect of the care or service you have received, or the General Medical Council if your concern relates to professional conduct.
12. Gifts and bequests
Patients and their families sometimes kindly offer gifts as a way of saying thank you. The thought behind these gestures is always appreciated. As a regulated medical service, we follow General Medical Council (GMC) guidance on gifts, hospitality and financial interests, which exists to protect the trust between doctor and patient. Our policy is:
- Our clinicians and staff will never ask for, encourage or expect gifts, hospitality, donations or bequests from patients or their relatives.
- A small, unsolicited token of thanks that can be shared with the team (for example, a card or a box of chocolates) may be accepted where refusing it would cause offence.
- We politely decline money, gift vouchers, hospitality, and any gift of more than token value. Declining is a professional obligation and not a rejection of your kindness, and whether a gift is accepted or declined will never affect the care you receive.
- We ask patients not to leave money or gifts to Caledonian Psychiatry, Edinburgh Psych Limited, or any of our clinicians or staff in their will. Bequests will be respectfully declined.
The expressions of thanks we value most are the ones that cost nothing: a card or a kind message is always welcome, and written feedback or an online review genuinely helps others who are considering the service. Some patients choose to donate to a mental health charity instead, which we are always glad to hear about.
13. Intellectual property
“Caledonian Psychiatry” is a registered trade mark of Edinburgh Psych Limited (UK trade mark registration no. UK00004306543). The Caledonian Psychiatry name, logo and associated branding may not be used, reproduced or imitated without our prior written consent.
All content on the Caledonian Psychiatry website, including text, images, logos, design elements and clinical materials, is the property of Edinburgh Psych Limited or its licensors and is protected by copyright and other intellectual property laws.
Clinical reports prepared for you are provided for your personal use and for sharing with healthcare professionals involved in your care. You may not reproduce, distribute or publish clinical reports or other materials provided by us for commercial purposes without our prior written consent.
14. Limitation of liability
We take full responsibility for harm caused by our negligence, fraud, or anything else the law does not allow us to exclude. We hold professional indemnity insurance appropriate to the services we provide.
We are not liable for delays or failures caused by events outside our reasonable control, such as technology failures, internet outages, or public health emergencies.
15. Changes to these Terms
We may update these Terms from time to time to reflect changes in our services, legal requirements or best practice. The latest version will always be available on our website. Where we make material changes, we will take reasonable steps to notify you, for example by email or by a notice on our website.
Your continued use of our services after any changes constitutes acceptance of the updated Terms.
16. Governing law and jurisdiction
These Terms are governed by and construed in accordance with the laws of Scotland. Any disputes arising out of or in connection with these Terms or our services shall be subject to the exclusive jurisdiction of the Scottish courts.
